Reasonable Correspondence Policy

My team and I will treat everyone who interacts with us with courtesy, respect, and fairness, and we expect those seeking assistance to do the same.

Members of Parliament are bound by Parliamentary protocol and can only assist those living within their constituency. Therefore, to assist you, we require your home address. Unfortunately, we cannot act on any anonymous correspondence, nor can we act on emails where we have been CC’d or BCC’d for information.

Occasionally, we receive correspondence that we deem to be unreasonable. Unreasonable correspondence (whether received via telephone, face to face or in written correspondence including on social media) includes the following:

  • Using abusive language.
  • Any form of intimidating or threatening behaviour.
  • Sending an excessive number of emails.
  • Leaving an excessive number of voicemails.
  • Repeatedly asking to speak to a specific member of the staff team, all staff can deal with most issues.
  • Requesting responses in unreasonable timescales.
  • Any suggestion of coming to the constituency office with any ill intent.
  • Continually contacting us in the process of looking at the issue or complaint with a third-party organisation.
  • Numerous calls or emails within a short period of time when you have already been informed that we need time to process it and are not adding any new information.

If anyone behaves in a way that is unreasonable, they may be subject to the following Reasonable Correspondence procedure:

  • We will request that the behaviour changes and issue a warning.
  • If behaviour persists, we will cease to speak directly with you and further correspondence will be in writing.
  • If behaviour persists, we will cease all correspondence.
  • If after the above steps have been taken, unreasonable behaviour remains and depending on the severity of the behaviour, it will be reported to the police.

My staff and I reserve the right to cease correspondence on the phone or in person immediately if correspondence is deemed to be unreasonable.

Members of Parliament are bound by strict Parliamentary Protocol, we cannot help you if you do not provide your full name and address.
